The problem
The clients — an MSME group with field service teams — were managing everything manually. Service requests came in through WhatsApp, field engineers self-reported job status by phone, and expenses were noted on paper. The owner had no reliable picture of who was doing what, which jobs were delayed, or where money was going.
- •No central place to assign or track service requests
- •No visibility into field engineer workloads or locations
- •Expenses tracked manually with no audit trail
- •No way to recognise or reward high-performing staff
What we built
TaskMan is a multi-tenant SaaS platform with three roles: Admin, Supervisor, and Field Executive. Each role sees exactly what it needs. Admins get the full dashboard; supervisors assign and monitor jobs; field executives log job progress and expenses from a mobile app.
- •Role-based access for Admins, Supervisors, and Field Executives
- •Real-time job assignment, status tracking, and escalation
- •Expense logging per job with approval workflow
- •Performance scoring and gamified rewards for field staff
- •Phone-OTP authentication — no passwords for field teams
- •Seat-based billing via Razorpay for multi-tenant scale
The gamification layer
One of the most effective features turned out to be the performance module. Field engineers earn points for completing jobs on time, closing tasks with positive feedback, and keeping expense claims accurate. Top performers are surfaced on a leaderboard and eligible for rewards decided by the business owner. This made the app something staff wanted to use — not just a reporting tool imposed on them.
The outcome
The owner moved from reactive management — chasing status updates by phone — to proactive oversight from a single screen. Every job, every expense, every engineer's workload is visible in real time. Resources can be reassigned based on actual data rather than gut feel. And the reward system means high-performing staff are recognised and motivated.
